Whether it’s exploring our nation’s Capital in Washington DC or checking out the unique natural beauty of Montana, Arizona, or California – or just spending time on the beach on one of the any amazing beaches on the West and East Coast – the United States has it all.

Booking Decision Timeline: I know that we’ll find the right choice for you. Because much effort goes into planning this type of trip, it’s important to understand your booking decision timeline. Air Travel: Casey can and will book flights for you if you wish. But be advised of the following:

It’s booked through a third party booking engine which doesn’t always have access to the “cheapest” pricing.
Flight pricing is dynamic and always subject to change until booked. If Casey books flights for you, it must be paid in full at the time of booking and is not refundable.
Reward points, frequent flier miles, and seat selection is not available during the booking process. You may be able to select your seats through the airline app after your flight has been confirmed.
Clients wishing to choose specific seats, fly with a preferred airline, use or earn frequent flier miles or rewards points, are encouraged to book flights on their own and supply that information to Casey.

Budget: While I understand that estimating a budget can be difficult for a trip like this, it does help me ensure that expectations equal reality. Excursions and Activities

A great domestic trip is one where there is a mix of pre-planned (pre-paid) excursions and activities and also time to explore and enjoy the destination on your own. I typically aim for a 50/50 approach. 50% of your time is spent with pre-planned activities and 50% is spent with “on your own” activities unless we discuss something different.

Excursion/Activity Expectations

Ground Transportation: Depending on where you’re going, public transit and/or rideshare may be available, while rail or private transfer may be an option as well. Further, you may also prefer to rent a car to drive in destination. Please tell me more about how you plan to move about once there.

Details, Deposit, and Cancellation

Cancellations: Because Magical Memories by Casey will use various vendors to put this trip together, booking is subject to each of those vendors cancellation policies. Casey will provide this information at the time of the proposal and you agree to be held to those cancellation policies.

Cancellation Policy Acknowledgement(required)

I acknowledge that I have been made aware that cancellation policies will vary by vendor/destination and I will be provided that information prior to placing a deposit. Further, I acknowledge that if I decide to book, I will be held to those cancellation policies.

Deposits: Deposits will vary depending on the destination. The amount of the required deposit will be provided at the time the quote is provided. The quote price is dynamic and subject to change until the required minimum deposit has been received and a confirmation # has been provided by the vendor.

Travel Insurance: It is recommended that you purchase travel insurance. For US-based clients, travel insurance is provided through AIG TravelGuard. Canadian clients have options outside of this product. Travel Insurance covers various travel-related risks which may include coverage for trip cancellation or interruption, medical emergencies, baggage loss/delays, and more. Coverage varies by plan you will be sent full details of what is covered when you book. It is strongly recommended that you purchase insurance for your trip to cover the unexpected.

Travel Insurance Acknowledgement(required)

I have been made aware of the recommendation of travel insurance and understand I will have a choice to add it onto my booking. If I choose not to do so, I will be required to sign a waiver.

Professional Planning Deposit Information

I take pride in the professional services I offer and am proud to be a fee-free agent. To protect my time in planning your trip, I may require a non-refundable professional planning deposit of $200 to initiate planning services beyond the initial conversation we have. This deposit secures my time and expertise dedicated to crafting your personalized travel itinerary. Here is how the deposit is handled:

Application to Final Payment: Upon booking your trip with me, this $200 deposit will be applied directly towards your final payment.
Non-Refundable in Case of Non-Booking or Cancellation: In the event that you choose not to book your trip with me after the planning process has begun, or if you cancel your plans after I have commenced work, this $200 deposit will be retained as compensation for the time and effort invested in your itinerary development.
